RECEPTIONIST/SECRETARY (Bath, NY)

 

Position Summary: The Bath Office of LawNY has an opening for a Receptionist position. The Bath Office staff currently includes 16 staff members who work together as a team to provide civil legal services to low-income clients in Steuben and Allegany Counties.  The primary areas of practice are housing (including landlord-tenant and foreclosure prevention), public benefits, family law and other services for survivors of domestic violence and sexual assault.  Special projects include a medical-legal partnership with the Bath Veterans Administration Medical Center, an Equal Justice Works Crime Victims Legal Corps project focused on campus sexual assault, and benefits counseling for clients with HIV. The receptionist is charged with being the first person a client or visitor comes in contact with and gives the impression of the office.  Therefore, they should have an empathetic and friendly attitude toward the client, potential client or visitor.

 

Duties may include but are not limited to:

 

      • Greeting clients and visitors in a welcoming and professional manner.

      • Answers incoming telephone calls and takes accurate telephone messages.  

      • Schedules appointments in conformity with office procedures.

      • Has a basic knowledge of other Social Service agencies in the community and makes referrals where appropriate.  

      • Possesses knowledge of the income guidelines and established legal priorities of the program.  

      • Knows and informs applicants of the client complaint and appeal procedures within the program.  

      • Takes application information over the telephone and/or prepares files and applications for in-office intake.  

      • Ensures that applications are correct and complete.  

      • Forwards copies of intake, and as required, other forms to office staff as appropriate.  

      • Mailing.

      • Photocopying and collating.

      • Keeps mindful of the need for confidentiality of matters concerning clients, both within and outside of the office.  

      • Undertakes other responsibilities and duties as directed and required by the office manager.

 

Preferred Qualifications:

 

    • Preference for residents of the low-income community.

    • Ability to speak and write well.

    • Ability to work well with people.

    • Ability to work independently

    • Ability to exercise sound judgment and common sense in dealing with client and ethical problems.  

    • Computer experience in Word, Sheets and computer networks.

 

Salary: Salary is dependent on experience and based on a pay scale with annual increments. The entry level salary for a Receptionist/Secretary is $27,300 increasing to $31,850 for a Receptionist/Secretary with five years’ experience.
